1. Scope and Our Role
Alkeyya AI operates a managed service. We configure, deploy, and manage AI receptionist solutions on behalf of our Clients. Our services do not include user accounts, logins, dashboards, or self-service portals; all communications with Clients take place via email or other agreed direct channels.
Our role with respect to personal information depends on the context:
When we process information about our Clients (the businesses we contract with), we act as the controller for the purpose of managing our relationship and providing our services.
When we process information about Callers on behalf of a Client — such as call data, messages, and booking details — we act as a service provider acting under that Client's instructions.
Where we act as a service provider, the Client is responsible for the lawful basis of processing, for providing appropriate privacy notices to its own customers, and for obtaining any required consents.
2. Information We Collect
2.1 Information from Clients
When a business engages our services, we may collect:
- Business contact details, such as business name, contact person, email address, and phone number;
- Billing and payment information necessary to process subscription and setup fees (processed through third-party payment providers);
- Business configuration details required to set up the service, such as call-handling preferences, scripts, business hours, and routing instructions;
- Communications between you and Alkeyya AI.
2.2 Information Relating to Callers
In the course of delivering services on a Client's behalf, our systems may process information about individuals who call or message the Client, which may include:
- Caller name, phone number, and other contact details provided during an interaction;
- The content of calls, messages, and chat interactions, including recordings or transcripts where applicable;
- Appointment and scheduling details;
- Any other information a Caller chooses to provide during an interaction.
2.3 Information Collected Automatically
When you visit our website, we may collect limited technical information such as IP address, browser type, device information, and usage data through cookies and similar technologies. You can control cookies through your browser settings.
3. How We Use Information
We use the information we collect for the following purposes:
- To configure, deliver, operate, and maintain the services;
- To handle calls, messages, and scheduling on behalf of our Clients;
- To deliver notifications, summaries, reports, and updates to Clients;
- To process payments and manage billing;
- To communicate with Clients about their services, including support and service-related notices;
- To improve the reliability, quality, and performance of our services;

We do not sell personal information. We process Caller information only as necessary to provide the services to the relevant Client and in accordance with that Client's instructions.
4. How We Share Information
We may share information in the following circumstances:
- With service providers and subprocessors — such as telecommunications carriers, cloud hosting, AI technology providers, messaging providers, and payment processors — who perform functions on our behalf and are bound by appropriate confidentiality and data-protection obligations;
- With the relevant Client, in the case of Caller information processed on that Client's behalf;
- Where required by law, regulation, legal process, or governmental request;
- To protect the rights, property, safety, or security of Alkeyya AI, our Clients, Callers, or others;
- In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.
We require all third parties that process personal information on our behalf to do so only for specified purposes and in accordance with our instructions and applicable law.
5. Data Retention
We retain personal information only for as long as necessary to fulfill the purposes described in this Policy, to provide the services, to comply with our legal, accounting, or reporting obligations, and to resolve disputes.
Where we process Caller information on behalf of a Client, retention periods are determined according to the Client's instructions and the requirements of the service. When information is no longer required, we take reasonable steps to delete or anonymize it.
6. Data Security
We implement reasonable technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, loss, or destruction. These measures may include access controls, encryption in transit where appropriate, and operational safeguards.

Alkeyya AI serves Clients internationally, and the information we process may be stored or processed in countries other than the country in which the Client or Caller is located. These countries may have data-protection laws that differ from those in your jurisdiction.

8. Your Rights
Depending on your jurisdiction and applicable law, you may have rights regarding your personal information, which can include the right to access, correct, update, or delete your information, to object to or restrict certain processing, and to request portability of your information.
If you are a Caller and wish to exercise rights in relation to information processed through our services, you should contact the relevant Client (the business you interacted with), as that business directs how the information is used. We will assist our Clients in responding to such requests as required.
If you are a Client, or wish to contact us directly regarding information for which we are responsible, you may reach us using the contact details in Section 11. We may need to verify your identity before responding to a request.
9. Children's Privacy
Our services are intended for businesses and are not directed at children. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will take reasonable steps to delete it.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, or business practices. When we make material changes, we will provide reasonable notice to our Clients via email or other direct communication channels and update the "Last Updated" date above.
Continued use of the services after the effective date of any revised Policy constitutes acceptance of the updated terms.
